Project Summary

This project revolves around designing and launching a new website for your cross country track team. The objectives include creating a unique, user-friendly website design, setting up the domain name settings, providing reliable website and email hosting services, and maintaining the website on an ongoing basis.

Based on the assessment of the old Tiger Sports website, the website features we believe you would be most interested in are:

  • Embedding a calendar on the website that shows the current and upcoming events
  • Photo gallery to show the team and/or state championships
  • Embedding PDFs of relevant athletic documents
  • Embedding the athletic school news
  • Contact form
  • Track sign up form

Features not included in the proposal that you might want to consider are:

  • Email marketing – email sign up for parents and spectators to get updates about the track meets
  • Social media feed integration
  • Page or section for sponsors or partnerships, with instructions for how to become a sponsor/partner and a form to sign up
  • Integration with a fundraising or donation platform
  • Link or integration with school shop to buy branded school merchandise

As the project progresses, the specifics may be refined in collaboration with you, ensuring a website that delivers the desired functionality and matches your team’s branding.

 

Recommended Website Structure

Based on the information you’ve provided, we’ve put together the following website structure based on what we believe would be most intuitive to parents and students.

  1. Homepage: The homepage is an inviting and informational page that serves as the gateway to other sections of the website. It can feature photos of the team at the top along with some quick links parents would likely use the most. On the same page, there can be sections added to feature the runners of the week and a section for the latest news and updates.
  2. About: The about page should provide information about the team, its history, and coaching staff.
    • History: The history page or section would have information about the history of the team and can show a list of achievements, and any other accomplishments. It could feature old photos, newspaper articles, etc. that are relevant to the team’s history.
    • Coaching Staff: A page or section on the about page that lists all the staff members. It could feature short bios and photos of staff members.
    • Resources: A page to place relevant external links, such as to the main school website or related athletic programs.
  3. Team: The team page would have information about the current team and link to pages for the team roster, photo gallery, and the forms.
    • Team Roster: The team roster page would show the team members with photos, names, and (if desired) short bios or statistics.
    • Photo Gallery: This page would showcase images from meets, practices, and other team-related events. Depending on the number of images, they could be categorized and displayed in different ways – it will depend on the images and the desired appearance.
    • Forms: This page would show all the forms with descriptions for what the forms are for, as well as instructions for how to submit the completed form.
  4. Programs: This page would have information about the different programs. The structure would depend on the amount of information to be shown on the website about each. One possible layout for this page would be to show a preview of the programs then link to their respective pages. If there is only a small amount of information to be shown, then a section on that page could be created for each one.
    • Booster Club: This page or section would have information about the booster club, how to join, links to any forms, photos, etc.
    • Junior High (JH) Program: This page or section would have information about the junior high program and how to sign up, photos, forms, etc.
  5. Schedule: This page could show a calendar with a list of upcoming events. An event calendar would make it so all details (date, time, location, directions, are easy to find). Directions to the meets can be included on each event page. The calendar could be something added to the site or it could use a third-party service like Google Calendar.
  6. Results: The results can be shown on a single page or if there is a lot of content or a large archive of past results, it could be displayed on a separate page(s) or in a table depending on the amount of information to be shared and the desired look.
  7. News: A page for posting results from past meets and news updates related to the team. The school’s athletic news could also be embedded on the page.
  8. Contact: A page with contact information for coaches and any relevant staff, as well as a form for easy email inquiries. It can also feature one or more maps on the page.
    • Coach Emails: A contact form could be used to allow people to send a message to the coaches directly from the site, and/or if desired, the coach emails could be shown on the page.
    • Directions: Information and maps to event locations. Maps to one or more locations could be embedded on the page with a link to directions.

When it comes to websites, we understand our clients have different needs when it comes to how much control they have. Some of our clients want to take the hands-off approach and have us handle everything, while others prefer to have some level of control. We are happy to work with whatever your preferences may be.

    • Description: We handle everything from purchasing the domain name and hosting to setting up and maintaining the website.
    • Benefits:
      • Hassle-Free: We take care of all technical aspects, so you can focus on what matters most—your team.
      • Ongoing Support: Any changes or updates you need can be requested, and we will implement them promptly.
      • Peace of Mind: Your website will be under our account, ensuring professional management and security.
    • Access: You will have login access to the website itself, but not to the server control panel. If desired, you can request the transfer of the domain and hosting to an account you control at any time.
  • Semi-Managed Solution
    • Description: You purchase some services, such as hosting and/or the domain name, and grant us access to set everything up.
    • Benefits:
      • Ownership and Control: The domain name and/or hosting will be under accounts you own, giving you direct control.
      • Professional Setup: We ensure everything is set up correctly and efficiently.
      • Flexible Management: You can manage aspects of the site directly, with our support for more complex tasks.
    • Access: Full ownership and access to the domain name and hosting, with our assistance for setup and ongoing support as needed.
  • DIY-Assisted Solution
    • Description: You purchase the hosting and domain name under your own account, and we assist you with the setup.
    • Benefits:
      • Complete Control: You have full ownership and access from the start.
      • Guided Assistance: We provide step-by-step support to ensure everything is set up correctly.
      • Cost-Effective: Ideal for those comfortable with some technical involvement and looking to manage costs.
    • Access: Full control and access to both domain and hosting, with our support to get you started and answer any questions.

For domain names, we charge $18/year and the cost of hosting varies by your needs and desired performance. We have hosting for simple websites and more robust solutions for larger sites or those that expect more traffic. When we better understand what features you want your site to have and the anticipated website traffic, we can make recommendations for what hosting solution would work best for you.

 

Ongoing Website Maintenance

Our standard ongoing maintenance services start at $29 per month, with options for more comprehensive maintenance packages available.

  • Essential Maintenance – $29/month: Our Essential Maintenance package is perfect for websites that require occasional updates. It includes up to 3 edits per month, which can be simple changes to the website content, graphics, theme, etc. With this service, we can add a blog post to your website, change or add an image or video to your website, or make simple modification to the navigation of the website.
  • Standard Maintenance – $75/month: The Standard Maintenance package is suited for websites that require regular updates. This package includes up to 10 edits per month and offers all the benefits of the Essential Maintenance package. It also includes basic SEO monitoring to ensure the site remains optimized for search engines, and monthly reports on website performance.
  • Premium Maintenance – $180/month: Our Premium Maintenance package is designed for businesses that require frequent website updates. It includes up to 30 edits per month, making it ideal for daily changes and updates. Along with the services provided in the Standard Maintenance package, the Premium package also includes priority support and weekly performance and SEO reports.
  • Elite Maintenance – $299/month: The Elite Maintenance package is our most comprehensive offering. It provides unlimited edits and updates each month. In addition to the services provided in the Premium Maintenance package, the Elite package offers dedicated support, advanced SEO monitoring and improvements, daily website performance monitoring and reports, and emergency site restoration in case of any unforeseen issues.

Each of these packages ensures that your website stays updated, optimized, and secure. Whether you’re simply refreshing your content occasionally or updating your site daily, we have a package tailored to your needs.

* Please note that “edits” refer to individual changes such as updating a text block, changing an image, adding a blog post, etc. Major changes like overhauling a webpage or adding new functionality may count as multiple edits or may not be included in these packages.

We provide flexible payment options. Depending on the nature and total cost of your project, we may be able to divide your total into two or more payments. We also provide a list of recommended lenders and financial resources on our website for those interested in third-party financing options.

For projects costing less than $1,000, we typically require payment upfront unless you have made payment arrangements with us. For projects over $1,000, we require a 50% down payment before services are rendered. We accept various forms of payment including credit cards, PayPal, Goldbacks, Bitcoin, Dogecoin, cash, checks, and money orders.
